Technical: Is responsible for providing the day to day delivery of FM services. Co-ordinate with suppliers to deliver services. Provide relevant FM information for the line management as necessary. Maintain monthly performance measurement information for line management in support of contract performance requirements. Act as deputy in the absence of line management. Be responsible for the image and visual standards of the site/s in line with SLA standards. Work with the National Call Centre or equivalent to ensure work orders are managed effectively and SLA targets are met. Carry out post room activities including receipt, sorting and distributing incoming and outgoing post to and from post rooms on each floor, keeping post tray names up to date, ensuring areas are tidy and that uncollected post is distributed. Check that printers and photocopiers are supplied with paper and change toner cartridges when required. Monitor water dispensers and vending units. Monitor and maintain stationery levels. Deliver goods received to correct destination/person. Carry out small office moves as defined by line management. Coordinate site waste and recycling arrangements. Carry out statutory fire testing and associated checks. Coordinate with security service ability of access to site and report any faults on access entry system where necessary. Provide and arrange cover for the FM team as defined by line management. Ensure meeting rooms are ready for use as defined by meeting room standards. Arrange the collection and delivery of mail. Enforce protocols which include the clear desk policy. Maintain the working floor notice boards. Manage front office area from 10K to 200K square feet (10-100 square ft = grade 51 and 101 to 200 square feet = 52) The role is also key in building relationship between occupants, FM staff and the different suppliers. Any other responsible duties as defined by line management. Financial Co-ordination of invoices, grn's and statements for payment purposes. Act as responsible person in line with DFA to carry out cost control function. HSEE: Comply with HSEE requirements as outlined within the SLA and as instructed as CBRE policy. Nominated co-coordinator i.e. Fire Marshall as required for emergency control activities. Report all accidents, occupational illnesses and emergencies in relevant books/documentation. Ensure all contractors, under sphere of control, operate within appropriate HSE processes and client HSE standards.
