Job purpose summary: Provide administrative support to a department and/or Manager. Duties include general clerical, receptionist and project based work. Project a professional company image through in person and phone interaction. Responsibility & Tasks: Perform reception duties in and efficient, professional and courteous manner. Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone, route calls, and take messages. Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups. Assist staff with administrative duties as requested, to include but not limited to: faxing, mailing. Maintain hard copy and electronic filing system. Create and modify documents using Microsoft office. Coordinate travel and lodging accommodations for staff, as requested. Assist with completion of necessary reports as requested. Distribute incoming mail and prepare outgoing mail including bulk mail. Take and transcribe minutes of Board and Committee meetings. Type and word process various documents and electronic information as needed. Order office supplies and monitor inventory. Update and maintain mailing lists. Produced mailing labels and reports as requested. Copy, assemble and mail Board packets. Maintain appropriate interpersonal relationships with employees, Arrange and coordinate meetings and conferences. Other duties as assigned.
